What school fee management software should do

In most schools, fees are where office time goes. A fee register in a notebook or a spreadsheet works until a parent asks "how much is still due?" and someone has to turn page by page to find out. Receipts are written by hand, copies get lost, and month-end totals take an afternoon.

Fee management software fixes the basics: the fee structure is written down once, every payment is recorded against the right student, a receipt comes out of the same record, and anyone with the right login can see where a student stands. That is what the fee part of EduTechMonitor does.

How fee management works in EduTechMonitor

1. Set up your fee structure. Your school's fees go into EduTechMonitor once, the way your school charges them. You don't adapt your fees to the software. During setup, our team builds the structure with you from the fee chart you use today.

2. Record each payment. When a parent pays, the office finds the student and records the payment. It is saved against that student, so the payment history stays with the student's record.

3. Print the receipt. Each payment has a receipt the office can print and hand over at the counter. No more carbon-copy receipt books to keep and search.

4. Parents see fees themselves. Parents log in to EduTechMonitor with a one-time password sent by SMS to their registered mobile number. They can see their child's fees there, along with attendance and the class timetable. Fewer "is the fee paid?" calls reach the office.

5. Branches stay separate. If your trust runs several schools or branches, each branch has its own admin and handles its own fees under the trust's account. See multi-branch schools.

Who this suits

The fee part of EduTechMonitor suits schools whose fees are collected at the school office, by cash, cheque, or a transfer the office then records, and who want to stop running the fee book by hand. It also suits trusts that want each branch's fees kept in one system with a separate admin per branch.

It is part of the full EduTechMonitor school management software, not a separate fee app. The same student records feed attendance, admissions, the timetable and parent login.

Moving your fee records in

Most schools start fee collection in EduTechMonitor from a clear date, such as the start of a term or an academic year. Before that date, we set up your fee structure and import your student list from your spreadsheet together with your office. If you want earlier dues or old payments brought across, tell us in the demo what records you have, and we will tell you plainly what we can and cannot move.

Price, refund and support

There is one plan, SGMS, and fee management is included in it. It costs ₹1,20,000 a year + 18% GST for up to 250 students. Above 250 students, it is ₹20 per student per month + GST. If it doesn't suit you, ask for a full refund within 21 days of your first payment. You always pay Sajre Edutech directly.

Support is by phone, WhatsApp and email, Monday to Saturday, 10 am to 6 pm IST, and we reply within one working day. Our team is in Dharwad, Karnataka, and visits schools by appointment when a problem can't be solved over the phone.
