A late fee must follow the rule your school has published to parents and any fee-regulation rules in your state. This tool only does the arithmetic.
TL;DR: Enter the fee amount, due date, payment date and your school's late-fee rule. The calculator shows the days late, the days charged after grace days, the late fee (with your cap applied) and the total to collect. The rule itself must be the one your school has published to parents.
The three common late-fee rules
| Rule | Example | Late fee for a fee paid 20 days late with 5 grace days |
|---|---|---|
| Per day | ₹10 per day | 15 chargeable days × ₹10 = ₹150 |
| Flat, once | ₹200 if paid late | ₹200 |
| Percentage per month | 2% per month or part month on ₹15,000 | 1 month × 2% = ₹300 |
Many schools also set a maximum, so a fee paid very late does not grow without limit.
How to use the calculator
- Enter the amount that was due and the due date.
- Enter the payment date. For a fee not yet paid, leave today's date.
- Choose your rule and its rate, your grace days and any cap.
- Show the late fee as its own line on the receipt. Our fee receipt generator can do that.
Good habits
- Publish the rule before the term starts, in the fee circular parents receive.
- Apply it the same way to everyone. Waive it only under a written rule, such as a medical emergency.
- Check your state's fee-regulation rules before setting or raising a late fee.
- Remind before the due date. A reminder a few days early prevents most late fees.
Fees in EduTechMonitor
In EduTechMonitor, the school management software made by Sajre Edutech in Dharwad, the office sets up fee structures, records each payment and prints the receipt, and parents see their child's fees in their login. Online fee payment by parents is not available yet. See school fee management software.
Frequently asked questions
How is a school late fee calculated?
Count the days between the due date and the payment date, subtract any grace days, then apply the school's published rule: a fixed amount per day, a flat amount once, or a percentage of the fee for each month or part month late. Apply the maximum cap if the school has one.
Can a school charge any late fee it likes?
The late fee should follow the rule the school has published to parents in advance, and any fee-regulation rules in your state. Check your state's rules before setting or changing a late-fee policy.
What are grace days?
Days after the due date during which no late fee is charged. For example, with 5 grace days, a fee paid 3 days late carries no late fee.
Should the late fee appear on the fee receipt?
Yes. Show it as its own line, separate from tuition and other fees, so the parent can see exactly what was charged and why.
Is this late fee calculator free?
Yes. It is free, needs no login and works in your browser. Nothing you type is saved or sent to us.
