The problem with one spreadsheet per branch

When a trust grows from one school to three or four, the paperwork usually grows with it in separate copies. Each branch keeps its own registers, its own fee book and its own spreadsheet, in its own format. The trust office has to phone each principal to find out anything. When a branch admin leaves, their files often leave with them.

Multi-branch school management software keeps every branch in one system, set up the same way, while letting each branch run its own daily work.

How EduTechMonitor is organised for a trust

EduTechMonitor follows the way Indian school groups are actually structured:

  • Trust. The top of the account, for the society or trust that owns the schools.
  • Institutions. Each school or institution the trust runs.
  • Branches. Each campus or branch of an institution, with its own branch admin.

Each level has its own login:

Login Who uses it
Trust admin The trust or management office
Institution admin The head office of one school or institution
Branch admin The office of one branch or campus
Teacher Teachers, for their own classes
Student and parent Families, for their own child's details

Each person sees only what their role needs. A branch admin works on their own branch. A parent sees only their own child.

What each branch does in EduTechMonitor

Every branch uses the same features, under its own admin:

  • Student records and admissions, including an online admission form and bulk import from a spreadsheet. See admissions and student records.
  • Daily attendance marked by teachers, with reports. See attendance.
  • Fee structures, payments and printable receipts. See fee management.
  • Class timetables and staff records.
  • Parent login with a one-time password sent by SMS.
  • Coaching batches next to school classes, if the branch runs them. See coaching centres.

Because every branch is set up in the same system, the trust doesn't have to merge different spreadsheet formats from each campus.

What is not available yet

Trusts often ask about the following, and none of them is available in EduTechMonitor today:

  • Online fee payment by parents
  • Exams, marks entry and report cards
  • Automatic SMS or WhatsApp alerts to parents (SMS is used only for login one-time passwords)
  • Payroll, transport or bus tracking
  • A mobile app (it works in the browser on any phone)

If a branch needs any of these from day one, tell us in the demo, and we will say plainly whether EduTechMonitor fits.

Setting up a trust

We set up the trust, its institutions and branches with you, then each branch's classes, fee structure and timetable. We import each branch's student list from its spreadsheet together with that branch's office. Our guide How to import student data from Excel shows how to prepare those sheets, and it helps to get every branch to use the same columns.

Then we train each branch's office staff and teachers. For trusts in North Karnataka, our Dharwad team can do this on site by appointment. See our page for schools in Karnataka.

Price, refund and support
