Cloud School ERP Features Checklist (and Where to Get Demos)

TL;DR: A cloud (web-based) school ERP runs on the vendor's servers and you use it in a browser, with no server at school. When you compare one, check the daily basics first (records, Excel import, attendance, fees and receipts, timetables), then roles and OTP login, parent access, multi-branch, data export and backups, support hours and a written price. Never pay before a hands-on demo with your own data. Most vendors, including us, offer one free through their website.

What "cloud-based" means for a school

"Cloud school ERP" simply means the software and your data live on the vendor's servers, and your staff, teachers and parents open it in a web browser or app. For a school this usually means:

  • No server or IT room to maintain at the campus
  • Updates arrive automatically, without reinstalling anything
  • Access from anywhere with internet: the principal can check attendance from home, the trustee can look across branches
  • You depend on the vendor for uptime, backups and security, and on your own internet connection

The last point is why the checklist below includes questions about data, support and exit, not only features.

The checklist

1. Data import from Excel

Most schools already have students in a spreadsheet. A good ERP imports them in bulk, tells you clearly which rows failed and why, and lets you fix and re-import. Test: bring 20 rows of your own data, including a missing phone number and a misspelt class, and ask the vendor to import it live. Our Excel import guide shows how to prepare the sheet.

2. Student records and admissions

One place for each student's admission number, class, section and parent details, plus an online admission form if you take applications.

3. Attendance

Teachers mark daily attendance quickly, and you can pull class and student reports. For CBSE schools, check that monthly percentages are easy to get for the 75% rule (our attendance guide).

4. Fee structures and receipts

Fee heads and structures per class, recording of cash, UPI, cheque and bank transfer payments, and a printable, numbered receipt for each. Ask separately whether parents can pay online, and who bears the gateway charge.

5. Roles and permissions

Separate logins for owner or trustee, principal or branch admin, office staff, teachers, students and parents, each seeing only what they should. Test: log in as a teacher and try to open fee totals.

6. Parent login

What can a parent see, and where: a web login, a mobile app, SMS/WhatsApp messages? Log in as a parent on a phone during the demo.

7. OTP login

A one-time password at login, usually by SMS, protects accounts that would otherwise rely on shared or weak passwords.

8. Multi-branch structure

If you run more than one school or campus, check that each branch can have its own admin, that branches stay separate, and that the owner can still see the whole trust. See our multi-branch guide.

9. Backups and data export

Ask how often your data is backed up and how a restore works. More important: can you export all your data in Excel or CSV, at any time and when you leave, and at what cost? Get the answer in your contract.

10. Security and data protection

HTTPS everywhere, role-based access, OTP or similar login checks, and a clear answer on who in the vendor's team can see your data. India's DPDP Rules (notified November 2025) need verifiable parental consent before processing children's personal data, so ask the vendor how they support you.

11. Support you can reach

Support hours, channels (phone, WhatsApp, email), languages, and whether anyone can visit your campus for setup or training. Be wary of round-the-clock support promises you can't test.

12. Pricing transparency

A written price for your exact student count, with GST shown, every add-on listed, and any yearly increase capped. Our cost guide explains how to compare three-year totals.

13. Demo before paying

A hands-on demo, where your own office staff do the tasks, before any payment. Get the list of "coming soon" features in writing.

Where to find demos of school management software

  • Vendor websites. Almost every school software company has a "Book a demo" form or a phone number on its own site. This is the most direct route.
  • Software listing sites. Directories that list school management software in India can help you build a shortlist. Treat ratings and rankings there with care, and book the demo with the vendor directly.
  • Other schools. Ask principals in your area what they use and whether you can see it. A reference visit to a similar school is worth more than any brochure.
  • Education events and trade fairs, where vendors show their products in person.

Book three to five demos within the same two weeks, use the same checklist and the same sample data for each, and compare the notes side by side.
