School Management Software Cost in India (2026): Honest Ranges

TL;DR: School software in India is sold per student per year, as flat slabs, per module, or as a one-time licence plus yearly maintenance. Published figures range from about ₹50 to ₹600 per student per year for SaaS, but most vendors don't publish prices at all. The first-year price is rarely the real cost: messaging, payment gateway charges, migration, training and add-on modules add up. Compare a written three-year total for your exact student count. Our own price is ₹1,20,000/year + 18% GST up to 250 students, and ₹20 per extra student per month above that.
Why this question is hard to answer
Ask five vendors "how much?" and you'll usually get five demo invitations. In a check of 12 Indian school-ERP vendors' own websites in October 2026, we did not find a single rupee price published on any of them. Most say "book a demo" or "get a custom quote".
That doesn't make them dishonest. Schools differ a lot in size, modules and hardware. But it does mean you should collect quotes in a way that lets you compare them. This guide shows how.
The five ways school software is priced
1. Per student, per year (SaaS)
You pay a rate for each enrolled student. It scales smoothly with size and is the most common model for cloud software. Watch for: whether the count is taken at admission time or at peak, and whether staff and parent logins cost extra.
2. Flat slabs
One price for a band of students, for example "up to 250" or "1,000–3,000". Easy to budget, but a school sitting just above a slab boundary pays for students it doesn't have.
3. Base plan plus modules
A core plan with add-ons priced separately (transport, library, hostel, payroll, LMS). For example, Classe365, a global vendor, publishes a core plan at $100 a month for 1–100 students, with add-on modules at $75 a month each and on-site training at $1,500 a day. The base price looks low; the total depends entirely on what you add.
4. One-time licence plus AMC
You buy the software once and pay an annual maintenance charge. One Indian vendor describes AMC as typically an 18–25% annual maintenance charge. You also carry the cost of the server, backups and updates.
5. Custom build
A developer builds software for your school. You own the code but also own every future bug, upgrade and security fix.
What schools actually pay: published ranges
Few sources publish numbers. Here are the ones we could find and check, with who wrote them. Note that both sources are vendors, so treat their figures as indicative, not neutral.

A caution on reading these: we found an arithmetic slip in one of the guide's own examples (its payment-gateway cost estimate doesn't match its stated inputs). Always redo the maths on any quote yourself, ours included.
The hidden costs that blow up the budget
The licence is usually the smallest surprise. Ask about each of these in writing:
- Data migration: who types in or imports your existing students, staff and fee history, and at what charge.
- Training: is it included, how many sessions, and is it on-site or online?
- SMS and WhatsApp messages: usually billed per message on top of the plan. A school sending daily absence alerts to 1,000 parents sends a lot of messages.
- Payment gateway charges: if parents pay online, the gateway takes a percentage of each payment. Find out whether the school or the parent bears it.
- Add-on modules: transport, library, hostel, payroll, report cards. Check which ones are in your quote and which are extra.
- Hardware: biometric devices, RFID cards, GPS units for buses.
- Custom formats: report cards, ID cards or certificates in your own layout.
- Price increases at renewal: is there a cap on yearly increases?
- Exit costs: can you export all your data in Excel or CSV if you leave, and is there a fee?
How to compare quotes properly: the three-year total
Put every vendor into the same table:

Then ask a second question: what would we still do on paper or in Excel with this product? A cheap system that leaves fees in Excel and report cards in Word is not cheap. Neither is an expensive system with 60 modules your staff will never open.

Being plain about it: for a school with fewer than about 200 students, we are on the expensive side of the published ranges above. Our price is easy to see, but it is not the lowest. We publish it so you can rule us in or out before spending time on a demo.

Questions to send every vendor before the demo
- What is the annual price for exactly our student count, including GST?
- Which modules are included, and what does each add-on cost?
- What do SMS/WhatsApp messages cost, and is there a free quota?
- Is migration and training included? On-site or online?
- How much can the price rise at renewal?
- Can we export all our data, and in what format, if we leave?
- What is the refund policy if it doesn't work for us?
- What are your support hours, and how do we reach a person?
A vendor who answers all eight in writing is easier to trust, whatever the final number.

Public figures vary widely. One Indian vendor guide puts SaaS pricing at roughly ₹50 to ₹600 per student per year depending on tier, and another vendor advertises ₹50 per student all-inclusive. Treat any per-student figure as a starting point and ask what modules, support and messaging it actually includes.
Why don't most school ERP companies publish their price?
Many quote per school after a demo because they bundle different modules, hardware and messaging for each customer. That makes like-for-like comparison hard. Ask every vendor for a written annual quote for your exact student count, with every add-on listed.

The licence may be free, but setup, data entry, training, hosting and support usually are not. Also check who holds your data and whether you can export it if you leave. A paid product with a clear exit is often cheaper over three years than a free one you outgrow.
