School Management Software in India (2026): Options and How to Compare
By Sajre Edutech team, Dharwad ·
TL;DR: There is no single "best" school management software in India. There is only the one that fits your school's size, board, budget and daily work. This guide gives you a neutral way to compare vendors, a factual list of well-known Indian school ERP providers, and an honest note on where our own product, EduTechMonitor, fits and where it doesn't.
Why "which is the best?" has no single answer
Search for "best school ERP in India" and page one is mostly "top 10" lists. Look closely and many are published by school software companies themselves, and they often rank themselves near the top. That doesn't make them useless, but it does mean you should not treat any list as neutral. Ours included.
The right software depends on things only you know:
- Size: 200 students in one building or 8,000 across 15 branches?
- Board: CBSE, ICSE, Karnataka State Board or another state board, each with its own report and record needs.
- Structure: a single school, a trust with several institutions, or a school that also runs coaching or tuition batches.
- Who uses it daily: an office team comfortable with Excel, or staff who will need hand-holding.
- Budget over three years, not just the first invoice.
A system with 60 modules is not better for you if your office uses 6 of them. A cheap system is not cheap if fees still live in a separate Excel file.
A neutral comparison framework
Score every shortlisted vendor on the same six areas. Mark each item Must, Nice or Not needed for your school before any demo, so the sales pitch doesn't set your priorities.
| Area | What to check | How to test it |
|---|---|---|
| Daily operations | Student records, admissions, attendance, fees and receipts, timetables, staff records | Do each task yourself in the demo |
| Academics | Exams, marks entry, report cards in your board's format | Ask for one printed report card for your board |
| Parents | What parents see, and how (web login, mobile app, SMS/WhatsApp) | Log in as a parent on a phone |
| Structure and security | Role-based logins, OTP, multi-branch, separate branch admins | Log in as a teacher and try to open fee totals |
| Data | Import from Excel, export when you leave, who owns the data | Import your own 20-student sample live |
| Commercial | Written price with GST, refund terms, renewal increases, support hours | Get all of it in writing |
Our 26-point checklist breaks these areas into individual tests, and the features checklist for cloud school ERPs covers what to ask about web-based systems.
Well-known school ERP providers in India
These are established names that Indian schools often shortlist. The descriptions are general, based on each company's own public positioning in October 2026. We have not tested their products, we don't quote their prices (most don't publish them), and features change, so check each vendor's own website and ask for a demo.
| Provider | Based in | General positioning (from its own website) |
|---|---|---|
| Fedena (Foradian) | Bengaluru | School and college management software sold in India and abroad, with exams, gradebook and add-on modules |
| Entab CampusCare | Delhi | K-12 school ERP aimed at schools and large school groups, with a parent app |
| Teachmint | Bengaluru | Education platform for schools and coaching institutes; its site now also features interactive classroom boards |
| MyClassboard | Hyderabad | K-12 school ERP for state, CBSE and international boards, with a parent app and a franchise module |
| Edunext | Noida | School ERP and parent app aimed at schools and large school chains |
| Vidyalaya | Ahmedabad | School management software with assessment, fees and transport modules |
| Schoolpad | Mohali | K-12 school ERP with an onboarding and migration team |
| Skolaro | New Delhi | School ERP for India and the Gulf region |
| Edumarshal | Noida | ERP for schools, colleges and universities |
What this list tells you: most of these vendors advertise exams and report cards, a parent mobile app, online fee payment and transport. If those are your must-haves, put them on your shortlist and test them properly. What it doesn't tell you: which one suits your school. Only a hands-on demo, a written quote and a reference call with a similar school can answer that.
Questions to ask every vendor
- What is the annual price for exactly our student count, with GST shown?
- Which modules are included, and what does each add-on cost?
- Can you import our Excel sheet of students live in the demo?
- What exactly can a parent see, and on what device?
- Which features are live today, and which are "coming soon"? (Get dates in writing.)
- Can we export all our data in Excel or CSV if we leave, and at what cost?
- What are your support hours, and can someone visit our campus?
- What is the refund policy if it doesn't work for us?
Compare the answers in one table. Our cost guide has a three-year cost template.
Where EduTechMonitor fits, honestly
EduTechMonitor is made by Sajre Edutech Pvt. Ltd., a Dharwad, Karnataka company founded in 2022. It is web-based: staff, teachers and parents use it in a browser. It is not the right fit for every school, and we'd rather you rule us out early than after signing.
What works today:
- Student records and admissions, including an online admission form and bulk import from Excel
- Daily attendance by teachers, with reports
- Fee structures, fee collection and printable receipts
- Class timetables and staff records
- Parent login showing attendance, timetable and fees
- OTP login by SMS
- School classes and coaching batches in one system
- Trust → institutions → branches, each branch with its own admin
Not available yet: exams and report cards, the mobile app (coming soon), online fee payment, SMS/WhatsApp alerts, transport, payroll and government portal exports.
Price: ₹1 (Basic), ₹2 (Standard) or ₹3 (Premium) per student per day, GST included. Every plan includes the core features; Standard and Premium add more modules, which we show in the demo. There is no free plan or free trial. Instead, a school's first payment has a 21-day money-back guarantee.
Support: our team in Dharwad, Monday to Saturday, 10am–6pm IST, with on-site visits by appointment.
A good fit if: your must-haves are clean records, admissions, attendance, fees with receipts and timetables; you run several branches under one trust; or you run coaching batches alongside school classes, and you want a published price and a team you can meet.
Not the right fit today if: report cards, a parent app, online fee payment or transport must be live this year.

Frequently asked questions
Which software is best for school management?
The one that covers your own must-have tasks, at a three-year cost you can carry, with support you can reach. A 250-student CBSE school, a state-board school running coaching batches and a 40-branch chain need different things. Write your must-haves first, then test each shortlisted vendor on the same tasks with your own data.
What are the top 10 school ERP software in India?
There is no official or independent ranking. Most 'top 10' lists online are written by software vendors, often including themselves. Well-known Indian providers include Fedena, Entab CampusCare, Teachmint, MyClassboard, Edunext, Vidyalaya, Schoolpad, Skolaro and Edumarshal. Treat any list, including ours, as a starting shortlist, not a verdict.
What are the top school management software options available in India?
Options range from large suites with many modules (exams, transport, payroll, parent apps) to smaller, focused systems. Shortlist three to five that serve schools like yours in size, board and region, ask each for a written price, and run a hands-on demo with your own student data.
Is EduTechMonitor the right choice for every school?
No. EduTechMonitor does not have exams and report cards, a parent mobile app, online fee payment or transport yet. It suits schools whose must-haves are student records, admissions, attendance, fees with receipts, timetables, multi-branch structure or school plus coaching batches in one system.
How much does school management software cost in India?
Most Indian vendors do not publish prices, so ask for a written quote for your exact student count. EduTechMonitor costs ₹1 (Basic), ₹2 (Standard) or ₹3 (Premium) per student per day, GST included, with a 21-day money-back guarantee on the first payment.
