School Fee Management Software: How to Choose (2026 Checklist)

TL;DR: Good school fee software lets you set up fee heads and structures per class once, record every payment (cash, UPI, cheque, bank transfer) against the right student, print a clean numbered receipt, and see who still owes what. Whether it also takes online payment is a separate question. Use the checklist below to test any vendor in a demo, with your own fee structure.
Why fees are where schools feel the pain first
Ask any school office what takes the most time and the answer is usually fees. Not because the maths is hard, but because the details multiply:
- Different fees for different classes: tuition, admission, exam, activity, lab, transport
- Instalments: annual, term-wise, quarterly or monthly
- Concessions for siblings, staff children or RTE students
- Late fees, part-payments and cheques that bounce
- Several payment modes: cash at the counter, UPI to the school's account, cheque, bank transfer
- Parents who ask, "How much is still due?" more than once a week
When all of this lives in a receipt book plus a few Excel sheets, the month-end total takes days and the dues list is never quite right. Fee software doesn't remove the work of collecting fees. It removes the retyping and the guessing.
What school fee software should do
1. Fee heads and structures per class
You should be able to define fee heads (Tuition, Exam, Activity and so on) and combine them into a structure for each class, with the amount and the due dates. Set it up once per academic year, not once per student.
2. Instalments, concessions and late fees
Check that the software handles your real rules: term-wise or monthly instalments, a sibling concession, a fixed late fee after a date. If a demo can't show your rule, ask how they'd handle it. A workaround that the office must remember every time will be forgotten.
3. Recording payments in every mode you use
Most Indian schools still collect a large share of fees at the counter. The software should record cash, UPI, cheque, demand draft and bank transfer, with a reference number for each (UPI transaction ID, cheque number). Cheques should be recordable as "subject to realisation".
4. Printable, numbered receipts
Every payment should produce a receipt with a unique serial number, the student's admission number and class, each fee head on its own line, the payment mode and the balance due. Cancelled receipts should stay on record, not disappear. Our fee receipt format guide lists every field.
5. Dues and reports
The point of software is that dues come from the fee structure automatically. Ask to see, live: one student's balance, one class's pending list, and the day's collection by payment mode. Check which reports come with the plan you are being quoted.
6. Parent visibility
Parents calling the office to ask about dues is a hidden cost. Check what parents can see about fees, and where: a web login, an app, or SMS/WhatsApp messages.
7. Roles and control
Not everyone should be able to edit a fee structure or cancel a receipt. A teacher, for example, usually shouldn't see fee totals at all. Check role-based logins, and if you have branches, whether each branch's fees stay separate.
Online payment: useful, but ask the right questions
Online fee payment through a payment gateway is convenient for parents. Before you choose software for it, ask:
- Which gateway is used, and what is the charge per payment (UPI, card, net banking)?
- Does the school or the parent pay that charge?
- Does the money settle directly into the school's own bank account?
- Is the receipt generated automatically, with the same number series as counter receipts?
If a vendor can't answer these in writing, the online payment feature isn't ready for your school yet.
A note on GST and fees
Services by a school to its own students are exempt from GST, so normal school fee receipts don't carry GST. The receipt format guide cites the CBIC circular and covers the edge cases. The software's own subscription price is a different matter: ask whether the quote includes GST.

How fees work in EduTechMonitor

What is the best software for managing school fees?
The one that matches how your school actually charges and collects fees: your fee heads, instalments, concessions and payment modes, with receipts your auditor accepts. Test any software by setting up one class's real fee structure, recording a UPI and a cash payment, and printing both receipts during the demo.
Can school fee software accept UPI payments from parents?
Some school software connects to a payment gateway so parents can pay online, usually with a gateway charge per payment. Others, including EduTechMonitor today, record payments the school receives by cash, UPI, cheque or bank transfer. Ask each vendor which one they offer and who pays the gateway charge.
Do school fee receipts need GST?
Services by a school to its own students are exempt from GST, so a normal school fee receipt does not show GST. Charges that are not education services can be treated differently, so check unusual items with your CA. Our receipt format guide explains the details.
Is Excel enough for school fee management?
For a small school with one counter and few fee heads, a well-kept Excel register works. It becomes risky with instalments, concessions, several people collecting fees or more than one branch, because totals and dues depend on everyone typing correctly.
