From registers to school software in 30 days
By Sajre Edutech team, Dharwad ·
Most schools that buy software already know why: the attendance register takes too long, fee receipts are written by hand, and nobody can quickly answer "how much is still due in Class 7?". What goes wrong is the move itself. Data is half-entered, teachers are unsure, and after a month the office is back on paper.
This is the four-week plan we suggest to schools. It works with any school management software, not only ours. Your pace may differ; what matters is doing the steps in this order.
Before you start: decide three things
- A go-live date. Pick a clear start, such as the first day of a month or a term. From that day, attendance and fees are recorded in the software.
- One coordinator. Usually someone in the office who knows the students and the fees. They own the move and are the person the vendor talks to.
- What you will move. For most schools: the student list, classes and sections, fee structures, the timetable and staff records. Old attendance and old fee history usually stay in the registers.
Week 1: Collect everything in one place
The goal of this week is that nothing needed for setup is still in someone's cupboard.
- Student list. Admission register, Excel sheets from class teachers, or an export from an old system. One sheet per school, not one per teacher.
- Fee structure. Every fee head (tuition, admission, activity fees and so on), the amount per class and the instalment dates. Write down concessions and the students they apply to.
- Classes and sections. The exact names you use, written the same way every time.
- Timetable. The current timetable for each class.
- Staff list. Name, role and mobile number for every teacher and office staff member.
- Parent mobile numbers. One working 10-digit number per student. In software where parents sign in with a one-time password sent by SMS, a wrong number means that parent cannot log in.
Week 2: Clean the data and set up the software
- Clean the student sheet first. Remove duplicates, fill blank admission numbers, and make class names consistent. Our Excel import checklist walks through this step by step.
- Set up classes, sections and fee structures in the software. Check the fee amounts with the person who collects fees today, not only with the fee circular.
- Import one class first, check it against the register, then import the rest.
- Add staff records and give each teacher a login for their own classes.
- Enter the timetable so teachers and the office see the same one.
At the end of week 2, compare the student count for every class in the software with your attendance register. Do not move on until they match.
Week 3: Train the staff and run side by side
- Office staff: collect a few real fees in the software and print the receipts. Check that the balance due looks right for those students.
- Teachers: mark daily attendance in the software, and keep the paper register as well this week.
- Each evening, the coordinator compares the day's attendance in the software with the paper register for two or three classes.
- Write down every question staff ask. Most of them come up in the first three days, and the vendor can answer them in one call.
Week 4: Go live and open parent login
- Stop the paper attendance register once the counts have matched for several days in a row.
- Collect every fee in the software from now on, so every payment has a printed receipt and the dues list stays correct.
- Open parent login. Send parents a short note with how to log in and what they will see: their child's attendance, timetable and fees.
- Check the reports. Look at the attendance report and the fees due list with the principal. These are the first answers the software should give you that registers could not.
After day 30
- Give new families the online admission form instead of a paper form, so their details go straight into the student records.
- Run a short review after the first month: what still happens on paper, and why?
- Keep the old registers and the final cleaned spreadsheet safely. They are your record of everything before the go-live date.
Mistakes to avoid
- Switching everything on the same day. Run attendance side by side first; open parent login last.
- Entering fees before the fee structure is agreed. A wrong structure means wrong dues for every student.
- Letting each teacher keep their own sheet. One student list, owned by the office.
- Giving parents access before the data is checked. A wrong name or wrong fee is the first thing a parent will call about.
How this works in EduTechMonitor
EduTechMonitor is the school management software made by Sajre Edutech in Dharwad. Today it covers student records and an online admission form, bulk import from a spreadsheet, daily attendance and reports, fee structures with collection and printable receipts, class timetables, staff records, and parent login for attendance, timetable and fees. Logins use a one-time password sent by SMS. School classes and coaching batches can run in one system, and a trust can manage several institutions and branches, each with its own admin.
When a school starts with us, our team helps set up classes and fee structures and imports your student list together with your office staff. Support is available Monday to Saturday, 10 am to 6 pm IST, on +91 90360 13909 or contact@sajreedutech.com. To see whether it fits your school, book a demo or read the EduTechMonitor overview and price.
Frequently asked questions
Can a school really move from registers to software in 30 days?
For one school of a few hundred students, about four weeks is a realistic plan if the student list already exists in Excel or a register and one person in the office owns the move. Bigger schools, several branches or messy records take longer. The plan matters more than the date.
Should we stop the paper registers on day one?
No. Run the paper attendance register and the software side by side for about a week. Stop the paper register only when the daily counts match and the teachers are comfortable.
Do we need to bring old fee and attendance history into the software?
Usually not. Most schools import the student list and start attendance and fee collection fresh from a clear date, such as the start of a term. Keep the old registers and spreadsheets safely as your record of the past.
When should parents get their login?
After the office and teachers have used the software for a week or two and the data is checked. Parents notice wrong names and wrong fee amounts quickly, so give them access once your records are right.
What is the most common reason a switch to school software fails?
Nobody owns it. When the move is left to whoever has time, data stays half-entered and staff go back to paper. Name one coordinator in the office and give them time for it during the month.
Does Sajre Edutech help schools with this move?
Yes. When a school starts on EduTechMonitor, our team helps set up classes and fee structures and imports the student list from your spreadsheet together with your office staff. Support is available Monday to Saturday, 10 am to 6 pm IST.
